Funding Guidelines for Student Professional Meetings

2023-2024 Funding Guidelines and Procedures

Eligibility overview

To offset costs of attending a professional meeting, PharmD students can submit an application to request funding if they are a P3 student presenting research or scholarly work, a student competing in a clinical skills competition (see list below), or a student leader (RCO board member) representing their organization at specific annual meetings.

Application

Third year students presenting research or scholarly work should use the P3 Research Presenter Funding Application.

Research presenters may request up to $750 per fiscal year, total. This may be spread out among multiple meetings, if applicable.

Student leaders or students competing in a competition should use the Student Leader/Competitor Professional Meetings Funding Application.

Student leaders or competitors may request up to $750 per fiscal year under the specific guidelines below. In the event that a student leader is also a competitor or vice versa, the student may request up to $750 for both the leadership meeting and the competition.

Depending on the number of applications and budgetary changes the maximum amount for each category of students may vary each year.

Process overview

Students may submit their funding application on a rolling basis but must submit the funding application no later than three weeks prior to the professional meeting. The Office of Student and Curricular Affairs (OSACA) will review and approve a specific reimbursement amount within 7-10 days of receiving the request form.

Once the student is notified by OSACA that their funding application has been approved, the student may attend the meeting with the understanding that they must submit their receipts for reimbursement within 14 days of the last day of travel. All students will be required to show proof of registration. The funds are intended to cover lodging, registration, and transportation costs only. Details: Reimbursement Guidelines for Student Professional Meetings.

Individuals using OSACA funds for travel must provide appropriate receipts for reimbursement.

Student leaders representing their RCO may be asked to submit a brief one-paragraph reflection on their experience attending the professional meeting.

Third Year Student Research Presenter Professional Meeting Funding Requests

The school will provide funds to offset the cost of travel and registration for third year student research presenters to annual state or national meetings. The maximum funding per student researcher is $750, total. This may be spread out among multiple meetings, if applicable. Funding is not intended to cover all travel costs, but can offset costs for transportation, lodging, and registration. As part of the application, students are asked to submit their abstract. If students are presenting as part of a team, each student is eligible for funding individually, and each must complete the application separately. The school will make every effort to support the entire team; however, depending on how many applications are received, teams may need to limit the number of presenters. Students requesting funds to support their research projects (e.g., materials, posters, etc.) should request those funds through the Discovery Project Funding application for their class. Note: there is no reimbursement for local meetings in the nine Bay Area counties: Marin, Sonoma, Napa, Solano, San Francisco, San Mateo, Contra Costa, Alameda; as well as Santa Clara Sacramento County and San Joaquin County.

Depending on the number of applications the maximum amount may increase and will vary each year.
